Position Overview MAIN PURPOSE OF THE JOB:
To ensure that the maximum number of hours are booked for the technicians.
Specific Role Responsibilities KEY PERFORMANCE AREAS:
1. Workshop Loading:
– Ensure maximum hours are loaded for the workshop per day.
– Calculate technicians’ hours booked vs. hours sold and report excessive lost hours to Technician and Manager.
– Manage the workshop capacity (Staff on training, off sick etc.)

2. Job card and Preparation:
– Ensure customer details are correct on the job card.
– Ensure that all criteria are met and are present on the job card, e.g. correct vehicle details as per VWSA, valid service history and proper operation, VIN nr’s and km readings.
– Capture mobility and destination of clients on repair order.
– Check on Elsapro for customer history.
– Check for campaigns and TPI’s.
– Ensure that necessary documentation is attached to the cards, service quotation, service checklist, prepare all job cards by 10am daily, inform parts department of parts required by 10am daily.

3. Processes:
– Appointments for toe-ins should be prioritised.
– Ensure that parts on order are captured on Resolve.
– Offer pre-diagnoses to customer, i.e., Rattles, intermittent faults, squeaks, gearbox and air conditioner repairs.

Qualifications and Experience WORK EXPERIENCE REQUIREMENTS:
– Client liaison (preferred).
– Exposure to workshop environment (advantageous).
– One year experience in motor industry as booking clerk.

EDUCATIONAL REQUIREMENTS:
– Matric – Grade 12.
– Certificate in basic computer skills Microsoft Office/Windows.
– Consumer Protection Act training.

– People Skills and sound Telephone technique.
– Questioning technique – right questions to get as much information as we require.
– Computer literacy.
– Basic knowledge of ELSAPro to allocate jobs according to recommended time units.
– PartnerNet to access service schedules and time requirements.
– Knowledge of electronic booking system.
– Ability to work in a team and under pressure.
– Good administrative skill and organisational skills.
– Deadline driven.
– Time management.
– High Emotional Intelligence.
