You’ll work in collaboration with department heads to manage the smooth flow of work in our agency, allocating creative resources, tasking and ensuring these are adhered to whilst ensuring all of the necessary deliverables for a project are completed on time and on budget.

Job description

The Creative Project Manager is responsible for the detailed day-to-day scheduling and management of agency resources ensuring that all deadlines are met, on budget to achieve maximum efficiency and return on our human capital. 

Key responsibilities include

Planning and scoping

  • Ensure a comprehensive understanding of the project requirements, objectives and deadlines
  • Establish clear ownership for project tasks by understanding the resource requirements and deliverables
  • Tasking activities per resource, deliverable and milestones required – from kick-off, through all reviews, to final delivery
  • Understand the implications of changes to the scope in terms of costs, resourcing and deadlines
  • Resource planning and management including freelance requirements as and when required 

Project communication

  • Maintain communication with GM, ECD, client service and creative resources throughout the project life cycle. 
  • Communicate progress, risks, expectations, timelines, milestones and other key project metrics to the team
  • Work with client service to ensure clients achieve an understanding of expectations, deliverables, dependencies, risks and progress throughout the production phase
  • Raise red flags and proactively propose production solutions when problems do arise

 Project control

  • Overseeing projects and making sure they are on track, on time and on budget
  • Monitoring progress, changing requirements and adjust resource allocation accordingly
  • Monitor creative team members time on projects to ensure accuracy and maintain profitability.
  • Manage scope creep to ensure that projects are delivered on time, according to scope, budget and expectations
  • Where deadlines are in jeopardy, create contingency plans with appropriate input from key team members and implement a revised plan, scope and budget 
  • Continually improve and optimise agency workflow and production solutions for new and existing clients.
  • Reinforce guidelines and processes with team members regarding agency workflow.
  • Schedule and manage meetings relating to creative teams
  • Prepare daily creative teams tasks lists, schedule weekly and monthly tproject and resource requirements 
  • Encourage collaboration and team-spirit amongst resources

Project budget

  • Understand project budgets, the basic agency revenue model, pricing model and billing processes
  • Track and report team hours on a weekly basis
  • Manage all project budgets, ensuring projects are completed profitably
  • Create monthly forecasts to ensure best practices of planning.
  • Ensure all resources are profitably billed at 7 hours per day per approved CE’s
