Duties include but not limited to:

  • Maintain records, reports, or files
  • Type documents
  • Answer questions from employees or public
  • Maintain telephone logs
  • Apply oral or written communication techniques
  • Communicate with customers or employees to disseminate information
  • Examine files or documents to obtain information
  • Route multi-line telephone calls
  • Apply telephone communication in customer service
  • Use computer to enter, access or retrieve data
  • Arrange teleconference calls
  • Recognize needs of communication-impaired persons
  • Transcribe spoken or written information
  • Arrange travel itinerary
  • Distribute correspondence, mail, faxes and e-mail
  • Maintain appointment calendar
  • Resolve/Assist customer or public complaints
  • Schedule meetings or appointments
  • Take messages
  • Maintain inventory of office forms
  • Make appointments
  • Explain rules, policies or regulations
  • Provide clerical assistance to customers or senior management
  • Type letters or correspondence
  • Fill out business or government forms
  • Greet customers, guests, visitors
  • Make travel reservations
  • Schedule or contract meeting facilities


  • Computer skills, research skills and decision-making and problem-solving skills
  • Strong interpersonal and communication skills (oral and written) and the ability to work effectively with a wide range of constituencies in a diverse working environment
  • Organising and co-ordinating skills
  • Records maintenance skills and to maintain confidentiality of records and information.
  • Conflict resolution and/or mediation skills
  • Typing skill of about 45 words per minute
