Role Overview
Motus Toyota Kempton Park is seeking an Administrator: Dealer Warranty & Costing to join the Service Department. This permanent role reports to the Manager: Service and is responsible for managing warranty claims efficiently and accurately, ensuring compliance with Toyota policies and procedures. The position requires meticulous attention to detail, strong organisational skills, and the ability to follow industry-specific processes. This role is ideal for candidates with a keen interest in automotive administration and warranty management.
Key Responsibilities
The Administrator will be responsible for:
- Obtaining accurate information regarding customer complaints and causes of defects
- Collecting all relevant documentation for warranty claims
- Capturing claims on the E-Toyota system promptly
- Ensuring claim tags are attached to parts and submitted to Toyota SA on time
- Monitoring the suspense file daily and controlling the claims register
- Reporting claims status to the Service Manager and ensuring payment is received
- Assessing vehicles’ eligibility for warranty work
- Verifying that all warranty parts are tagged and stored correctly by technicians
- Submitting warranty claims in line with distributor guidelines
- Attending all distributor-led warranty training courses
- Keeping up to date with Toyota Warranty Policies, Bulletins, and Special Service Campaigns
- Actively following up on all service campaigns as instructed by the distributor
- Assisting with additional administrative tasks as required
Qualifications and Skills
Applicants should meet the following requirements:
- Minimum Grade 12 qualification
- Computer literacy
- Clear criminal record
- Knowledge of warranty procedures
- Attention to detail and accuracy
- Excellent verbal communication skills
- Prior experience in the motor industry is advantageous
