Job Overview

The Graduate Personal Assistant provides high-level administrative and executive support to the Director of Crownmed Day Hospital. You will manage diaries, coordinate meetings and ensure smooth communication between internal teams and external stakeholders. The role involves preparing documents, reports and presentations while maintaining accurate filing systems. You will also act as a key liaison between medical staff, suppliers and administrative departments. This position requires discretion, efficiency and the ability to manage multiple priorities in a demanding healthcare environment.

Key Responsibilities

• Manage the Director’s diary and schedule meetings and appointments
• Screen and prioritise incoming communication and requests
• Coordinate meetings, prepare agendas and capture minutes
• Draft reports, presentations and official correspondence
• Maintain filing systems, records and administrative databases
• Liaise with medical staff, suppliers and external stakeholders
• Provide general administrative and executive support
• Ensure confidentiality and compliance with POPIA regulations
• Assist with document tracking and internal communication flow
• Support day-to-day operational coordination within the Director’s office
• Handle ad hoc administrative tasks as required
• Maintain professionalism in all communication and interactions

Requirements And Skills

• Completed relevant Bachelor’s degree
• Strong Microsoft Office 365 skills
• Excellent written and verbal communication skills
