Job description

  • Efficiency and profitable operation of files within guidelines set by the cruise manager and general manager – Western Cape.
  •  The highest ground handling standards throughout the season.

Due to the unique nature of the cruise industry, it is a requirement of this position for incumbents to work irregular hours during the high season period, which will be compensated for by way of overtime payment at the end of the cruise season. Extensive travelling to various destinations is also a requirement during the high season period.

  • Prepare competitive quotations and innovative itineraries for international cruise agents, with the aim of securing their business.
  • Ensure rates used for quotations are well negotiated using company channels.
  • Utilise travel studio for rates information.
  • Proposals must be done according to the cruise manual specifications.
  • All accommodation has to be booked at the time of preparing the proposals.
  • Update the accommodation tracker.
  • Ensure accommodation is released before deadlines.
  • In liaison with the cruise manager, set and maintain good margins for files.
  • Adhere to all imposed deadlines in turnaround for file and travel studio tasks.
  • Send quotes and proposal to travel studio for building.
  • Pull packages into travel studio and voucher.
  • Ensure Overland, pre- and post-tours are invoiced 45 days before date of service.
  • Ensure invoicing is complete within 24 hours of the ships last port of call.
  • Utilise Shorex/Overlands/Pre and Post procedures template to run a file.
  • Process reservations for accommodation, sightseeing, meals, guide services, luggage handling and all modes of transportation required for each respective shore excursion, overland tour, pre or post cruise package, passenger turnaround, FIT’s and any other type of movements that might be addressed to the cruise division.
  • Ensure files are updated with the latest correspondence.
  • Ensure the cruise drive is up to date.
  • Focus on establishing/maintaining excellence in customer service to Clients in terms of the highest standards and quality of work, i.e., detailed and accurate information, thereby maintaining good relationships.
  • Grow the cruise business by offering additional tours, crew tours and clearing waitlists.
  • Ensure cash forecasts, cash up’s and recons are done within the set deadlines.
  • Creating 20% turnarounds of workable, well thought out new product every year.
  • Ensure VIP’s receive the appropriate attention.
  • Implementation of a standardised format for all proposal templates and working templates for the Team.
  • Refreshing “old” tour descriptions, and ensuring that all content and timings are accurate.

Operations

  • To co-ordinate all arrangements at each port of call in South Africa, Namibia, Mozambique, Angola and any other regional destination, where your assistance may be required.
  • To travel within South Africa, Namibia, Mozambique, Angola and any other regional destination when and where required.
  • Ensure QC issues are actioned immediately.
  • Work as a team and delegate to the team as a File Manager.
  • Ensure Staff arrangements have been made.
  • Update Suppliers with final numbers.
  • Guide briefings must be done.
  • Supply Guides with Guide Packs.

Reports

  • Report file, sales and margins to the cruise manager and general manager – Western Cape within 48 hours of the ship’s last port of call.
  • Update cruise manager with shorex nr every day
  • Flash report to be completed every Thursday and sent to cruise manager

Rlationship building

  • Establish excellent relationships with clients, acknowledging requests, replying to all correspondence in an efficient and timeous manner. Initial turnaround to requests should be within 24 hours.
  • To liaise closely, establishing a close working relationship with the Shorex Staff on board the cruise ship, assist them will all requests and passenger requirements, etc.
  • Maintain and develop a close working relationship with Suppliers.
  • Maintain a good consultant/Office relationship.

  • Matric
  • Drivers license and own vehicle
  • Tertiary qualification in Travel and Tourism would be beneficial
  • Minimum of three years experience as a travel consultant
