Key Performance Areas (KPAs)

Omega maintenance

  • Responsible for the creation of order codes, SKU/items and price lists within the Omega system
  • Ensure the successful linking of SKU’s from item to order code per activity
  • Manage the installment set-up maintenance  every 6, 12 and 16 months or as the need arises
  • Create product action batches and codes as the need arises
  • Accurately update the costing’s on the system bi-annually

Supplier purchase orders

  • Responsible for order creation and follow-up until the order is delivered on time
  • Conduct weekly update of supplier order screen in the Omega system
  • Ensure that the supplier order is sent to the Finance dept. for local suppliers
  • Manage the monthly update of the local supplier delivery schedule and update on COD suppliers to the Finance department
  • Effectively manage faxing and follow-up with suppliers to ensure deliveries are met

Fulfilment

  • Run the reporting on fulfilled
  • Manage the running and dumping of reports for unfulfilled daily or as the need arises
  • Process the daily product action batches and WFS task
  • Forward urgent replacements to the warehouse immediately and check customer accounts to validate replenished/short delivery
  • Forward queries to the customer service department for action
  • Work through the ageing report and order or substitute if necessary
  • Maintain product information

Briefs and proofs

  • Check proofs from first to iris stage
  • Check copy, prices colour/pattern and installments
  • Identify and re-negotiate timelines with Marketing department

Stock update, communication, invoices and other

  • Manage the creation of order codes
  • Follow-up on the booking of stock on the system with WFS
  • Accurately reconcile invoices
  • Ensure that the Finance department is in receipt of authorised COD invoices
  • Action penalties to prevent future late deliveries (local suppliers)
  • Communicate by fogbugz to real systems for system related queries
  • Accurately check the web page on-line and manage stock levels on e-mail campaigns/web clearance page
  • Timeously create analysis reports for the business unit
  • Re-designing of Merchandise screens

Requirements

Qualifications

  • Matric (grade 12)

Experience and skills

  • Omega systems knowledge
  • Sound knowledge of HomeChoice products
