Job description

PA/customer support duties and responsibilities

  • Monitor and ensure that the reception area is kept tidy and projects a business-like image.
  • Greet and welcome visitors to the offices between ensuring they sign in the visitor’s book and covid-19 register and informing the relevant member of staff of their arrival.
  • Prepare meeting and conference rooms and assist in arrangements for catering provisions
  • Answer calls, and resolve enquiries and queries in a professional manner
  • Take and direct calls and emails
  • Liaise with other departments to ensure the smooth running of the office and its environment
  • Take accurate and comprehensive notes at meetings
  • Run errands as requested
  • Draft correspondence such as emails and letters
  • Coordinate and schedule meetings and manage calendars of the Company (Help with daily time management)
  • Provide general secretarial duties to Directors and other departments when required within the business including filing, archiving, typing, photocopying, scanning
  • Maintain absolute confidentiality regarding sensitive personnel, financial and commercial
  • Undertake any other duties that are within the scope, spirit and/or purpose of the job, the title of the post and its remuneration as requested by the Company
  • Customer Service Support
  • Receive, process and verify the accuracy of orders from clients 
  • Handle customer queries
  • Provide product and services information to clients
  • Maintain client lists 
  • Process requests for quotations received via all available means
  • Forward customer orders to relevant department
  • Assist with walk in clients
  • Manage the progress of client orders internally until dispatch
  • Customer follow ups (courtesy calls/ deliveries/leads)
  • Quality control of orders before dispatch

Accounts support/bookkeeper duties and responsibilities

  • Record day to day financial transactions and complete the posting process, i.e, general ledgers, supplier ledgers, debtor ledgers
  • Bring the books to the trial balance stage
  • Perform partial checks of the posting process
  • Enter data, maintain records and create reports as needed from time to time
  • Debtors maintenance and debt collecting
  • Processing of customer quotes and invoices
  • Filing

Requirements

  • Proven bookkeeping experience
  • Solid understanding of basic bookkeeping and accounting payable/receivable principles
  • Proven ability to calculate, post and manage accounting figures and financial records
  • Data entry skills along with a knack for numbers
  • Hands-on experience with spreadsheets and accounting software
  • Proficiency in English and in MS Office
  • Customer service orientation and negotiation skills
  • High degree of accuracy and attention to detail
  • Minimum two years experience
  • Formal qualification in bookkeeping/accounting
  • Driver’s licence 

Qualifications, knowledge and experience 

  • Excellent computer skills including MS Excel, and excellent knowledge of Microsoft Office software
  • Experience of employment within an administrative and/or accounts role
  • Excellent verbal and written communication skills
  • Confident, sociable, and a team player
  • Ability to demonstrate excellent organisation skills, being able to prioritise work and meet deadlines
  • To be able to work independently and without supervision
  • To work well as part of a team and able to build and maintain relationships with colleagues as well as clients
  • Maintain absolute confidentiality regarding sensitive personnel, financial and commercial information
  • Ability to exercise initiative when handling problems and queries, and knowing when to refer them to another colleague
  • A flexible approach to tasks
  • Experience in a customer service capacity an added advantage
  • Basic Accounting knowledge
  • Understanding accounting best practices
  • Data entry skills
  • High attention to detail
  • Produce work with a high level of accuracy
  • Professionalism and organization skills
  • Pastel experience an added advantage
